Five Days to Build It. Five Hours to Make It Disappear.
The 2025 UVU President’s Scholarship Ball took five setup days to turn a multipurpose arena into two complete event environments—and an overnight five-hour strike to clear it. The useful story is what that compression says about sequence, modularity, rigging, florals and the part of design that has to come back down.

It took five setup days to make the arena look as though an enchanted forest had always lived there. It took five hours after the party to make the evidence disappear. That is the part of the photograph I want to keep.
The finished event had all the ingredients that invite a certain kind of editorial amnesia: chandeliers dressed with greenery, a huge video wall, a wishing-tree bar, floral scenery, butterflies, lounges, glowing stair installations and sixty-seven tables with three different centerpiece families.
Pretty. Abundant. Very easy to describe as a theme.
The more useful description is a production sequence.
In The Event’s published case study for Utah Valley University’s 2025 President’s Scholarship Ball documents a five-day build at the UCCU Center in Orem, Utah, for the October 11 event. The venue was a multipurpose arena, not a ballroom. The production created two separate but connected environments: a reception and a fully transformed arena floor. The source records a 136-panel LED video wall, three suspended chandeliers, full concert-scale lighting, 66 wireless fixtures, four service bars, a 9.5-foot faux wishing tree, custom scenic elements, 67 dressed tables and three separate centerpiece collections.
Then, when the gala ended at 10 p.m., strike began. The published timeline says the full clearout was complete by 3 a.m.
Five calendar days in. Five overnight hours out.
Those are not equivalent labor numbers; the case study does not publish crew size or total labor-hours, and it would be fiction to manufacture them. But the difference in available clock time tells us something important anyway: strike is not installation played backward.
THE TEARDOWN QUESTION
What had to be decided during design because the room eventually had to become an arena again?
Modularity, sequence, storage, access, rigging, floral mechanics, cable paths, furniture movement and the order in which finished layers could safely appear all mattered before the first guest saw a butterfly.
The arena was not an inconvenient blank canvas
Calling a large venue a blank canvas is one of those phrases that sounds generous and reveals almost nothing.
A blank canvas does not have loading rules, overhead structure, power, stair towers, seating bowls, egress, concrete, lift access and a next use. An arena does.
The UCCU Center gave the production scale, but scale had to be domesticated. In The Event’s record says roughly 16,000 square feet of arena floor had to become intimate enough for a black-tie scholarship gala. That required more than filling space. The production needed focal points large enough to survive the room: overhead rigging, a 136-panel screen, chandeliers, scenic stage work, dance floors, repeated lighting and sixty-seven tables.
This is the first useful teardown lesson: large rooms punish decorative thinking that does not understand visual distance. Tiny objects do not become grand merely because there are more of them. They become inventory.
The production instead used a handful of large systems and repeated families. A video wall could command the stage. Chandeliers could lower the apparent ceiling. Sixty-seven centerpieces did not need sixty-seven unrelated ideas; they were divided into three collections. Four service bars repeated the same visual language. Modular illuminated pieces were reconfigured at multiple touchpoints.
That is how abundance gets a grammar.

The transformation has to come apart faster than it went together, without pretending sequence no longer matters.
The ceiling had to be finished before the room became precious
The source describes two lift trucks used to hang and aim the overhead rig, with chandeliers, lighting and atmospheric systems above the arena floor. That one detail explains why production schedules cannot be assembled as a list of vendor arrival times.
A lift is not merely another vendor object. It is a moving zone of exclusion. It needs floor access. It needs travel paths. It needs room to turn. It needs a surface the venue allows it to cross. It does not care that the florist would like to begin setting sixty-seven delicate tables underneath it.
So the sequence is architectural:
work above the room → work on the floor → work on the tables.
Break that order and everybody starts protecting finished work from unfinished work. The lighting team is navigating around chairs. The florist is watching a lift pass a centerpiece. Cable disappears under a dance floor that has already been installed. The scenic crew discovers its final piece needs the same path the rental team just filled.
This is why Tangled Thistle’s final production meeting has to contain dependencies, not just call times. “Lighting at ten, florals at noon” is not the useful information. “Lift work clears before table placement begins” is.
The reception and arena were two events sharing one story
The reception was not a holding pen before dinner. The published scope included outdoor boxwood arches, an interior butterfly entrance, four lounge types seating more than forty-four people, three photo experiences, four service bars, a back-lit registration counter and a 9.5-foot wishing-tree installation.
That is enough program to create its own operating problem.
Guests arrive into registration. They encounter bars. Some stop for a photograph. Some sit. Some move. At some point the entire social population must transfer into the arena without the reception furniture becoming a barricade or the bar queue becoming the last thing holding people outside.
Designers sometimes describe connected rooms as chapters. Fine. But chapters need page turns.
The handoff between reception and arena requires routes, cues, staff, clear destinations and a reason to move. That is the same principle behind treating service routes as part of guest experience: what happens between the beautiful moments is still part of the event.
Sixty-seven centerpieces were a late-stage system, not the first design decision
The floral count is visually seductive because it is easy to picture. Nineteen tables received the Mossy Forest treatment. Twenty-six got the Whimsical Forest collection. Twenty-two used the Living Story collection. The source lists materials and styling distinctions for each.
But the timeline tells us something more interesting than the flower recipe: the centerpieces came after the lighting was aimed and the dance floors were laid.
Of course they did.
Fresh and fragile things should not be used as traffic cones while heavier work continues. Yet event schedules routinely put the most delicate labor into a room before the room is done being a work site.
This is not only about protecting flowers. Late-stage decorative work also has the least tolerance for upstream delay. If rigging runs long, the florist does not gain an extra hour at the end of the night. Dinner still has a clock.
THE PRACTICAL RULE
The more fragile the finish, the later it should enter the production chain.
Do not make linens, place settings, paper, food, candles, florals or guest-facing detail absorb the risk created by unfinished overhead, electrical, scenic or floor work.
One modular system did four different jobs
One of the most useful details in the vendor’s project record is not the largest object. It is the repeated modular illuminated-frame system. The same basic product was configured as registration, service bars, stage steps and stem columns.
That is what good event modularity looks like.
Not “everything is generic.” Not “rent the same rectangle and hope nobody notices.” A modular system can keep a visual identity while changing function. It simplifies sourcing, reduces the number of unrelated build methods, creates spare-part logic and gives strike a smaller vocabulary.
Imagine the opposite version: one custom fabrication for registration, four unrelated custom bars, separate stage units and another family of decorative columns. It might photograph beautifully. It also creates more unique objects to build, label, transport, repair, stage backstage and get back onto trucks at two in the morning.
Every bespoke object creates a bespoke problem eventually.
Strike is where design reveals whether it respected labor
In The Event’s published schedule says the gala ran to 10 p.m., strike began immediately, and the venue was fully cleared by 3 a.m.
I am resisting the temptation to turn that into a heroic crew story because the source does not publish crew size, labor assignments, truck count or exact removal order. Those facts matter, and we do not have them.
What we can see is the compression.
Five setup days allowed technical systems, reception construction, scenic, lighting, floors and florals to enter in stages. Strike had one overnight window. That means the event could not be designed only for assembly elegance. It also needed a credible disassembly path.
The usual strike problem is not that nobody knows the objects need to leave. It is that everybody needs the same door, the same elevator, the same dock and the same floor at once.
Florals are coming down while glassware is being collected. Furniture is moving while AV is de-rigging overhead. Scenic pieces need carts. Rental bins need space. Trucks may have an order. Venue protection still applies. Trash is not allowed to become a new scenic installation.

The glamorous object is not always the production driver
The life-size butterfly and topiary horse are charming. The video wall is enormous. The chandeliers are obvious. But the real drivers may be less photogenic: lift access, rigging sequence, cable, available setup days, two spaces building at once, and the rule that centerpieces cannot safely arrive until the room is nearly finished.
This is the recurring mistake in event planning. We organize the project around what guests will notice instead of what the build depends on.
For a comparable transformation, I would want these answers before approving the pretty plan
What has to happen overhead? Rigging, lighting, drape, chandeliers, screens, cable and anything requiring lifts.
What has to happen underfoot? Stage deck, dance floor, carpet, floor protection, cable crossings and furniture.
Which environments can build in parallel? Parallel work saves calendar time only if crews, access and staging space do not collide.
Which objects are truly unique? Every one-off fabrication deserves a reason. Modular pieces can often carry several jobs without making the event look rented by committee.
What is the last fragile layer? Florals, tabletop, food, paper and styling need a protected finish window.
How does it leave? Strike order, truck order, dock access, waste, rentals, floral disposal, cable, rigging and venue handback belong in the design conversation before event day.
What is documented, and what stays politely unknown
A vendor case study is evidence, but it is also a vendor telling the story of its own work. The right way to use it is neither cynical nor gullible. Use what it documents. Label what it does not.
Documented: the client, venue, event date, five-day setup window, two environments, 136 LED panels, sixty-seven tables in three centerpiece collections, four service bars, overhead lighting, two lift trucks, sixty-six wireless fixtures, major scenic elements, and the 10 p.m. to 3 a.m. strike window.
Not published in the source: total production budget, crew headcount, total labor-hours, power draw, exact rigging loads, truck count, floral spend, rental spend, overtime structure and minute-by-minute strike sequence.
I am not filling those blanks with “industry estimates.” They are the difference between a teardown and fan fiction.
The five-hour ending changes how I read the five-day beginning
Without the strike detail, this is a case study about transforming an arena into an enchanted forest.
With the strike detail, it becomes something more useful.
It becomes an argument for designing temporary beauty with an exit strategy.
The room can be lush. The flowers can be abundant. The chandelier can drip with greenery. The screen can be enormous. None of that requires pretending the event is permanent.
Temporary work is not lesser architecture. It is architecture with a deadline for ceasing to exist.
Five days to make the illusion convincing. Five hours to return the building.
The best production plan respects both.
